NCMA Speaker Agreement  

Please read and agree to NCMA's Speaker Terms and Conditions: 

We thank you for sharing your expertise with our community and appreciate the time and effort you put into your presentation and the value you are giving back to the profession! 

The following lays out the expectations and requirements for speakers at this event for the purpose of providing the best experience to attendees. It is your responsibility as a speaker to read and adhere to all the information made available to you by the NCMA Meetings Department and to comply with the NCMA Code of Ethics. Failure to meet these deadlines can result in incorrect or incomplete information being included on the event agenda or online event guide or removal of your session from the agenda.  

PRE-EVENT RESPONSIBILITIES 

  • Provide NCMA HQ with all requested information by the deadline dates listed. 

  • Register for the event. 

  • Participate in a Speaker Orientation webinar (live or recorded).  

DAY-OF-SESSION RESPONSIBILITIES 

Pick up your speaker badge at registration and report to the Community Zone at least 2 hours prior to your session. Arrive to your session room 20 minutes prior to the start of your session. 

NCMA SPEAKER EXPECTATIONS 

NCMA expects speakers to begin and end your session on time to complete with the timing as listed in the event agenda, provide a quality session, and to be respectful of all participants and their views. NCMA offers accepted presenters and one co-presenter complimentary registration for World Congress, for up to two presenters per session maximum. All presenters and co-presenters must be registered.  

NON-PROMOTION 

Presentations, postings, and messages cannot contain promotional materials, special offers, political statements, job offers, product announcements, or solicitation for services. NCMA reserves the right to remove such messages and potentially ban sources of those solicitations. You may mention products or services, but further promotion is prohibited. Should you choose to make a pitch during your presentation, you will not be selected to speak at any future NCMA educational events. One slide discussing your background, the organization you work for, and what your position entails is sufficient to set the context for your presentation. Disruption of presentations during sessions, in the exhibit hall, or at other events organized by NCMA throughout the virtual meeting. All participants must comply with the instructions of the moderator and any NCMA virtual event staff. Presentations, postings, and messages that contain promotional materials, political messages, special offers, job offers, product announcements, or solicitation for services. NCMA reserves the right to remove such messages and potentially ban sources of those solicitations. 

Speakers may not use the session to gather information for their own business, research or other purposes, which includes the collection of attendee contact information. This includes polling questions that are designed to gather information not directly relevant to achieving the learning objectives of the session. 

Speakers are expected to use the NCMA-provided slide deck template, branded with the NCMA and World Congress logos. Speakers may not use their own branded slides without prior permission from NCMA.  

RIGHTS TO PRESENTATION MATERIALS 

By accepting this speaking opportunity, you are granting NCMA the right to publish your presentation materials and recorded session in the following areas: 

  • Written materials (presentation slides, event programs, and promotional material) 

  • Video and/or audio recordings of your presentation(s) 

Additionally, you grant NCMA a non-exclusive license to use your presentation, recording and handout materials. If any proceeds are derived from such distribution and use of your session presentation and handouts, NCMA shall retain such proceeds. By agreeing to speak, you are responsible for ensuring your content and presentation materials do not infringe upon any copyright or other proprietary rights. 

PHOTO/VIDEO DISCLAIMER 

Any audio/video recording or photography of your session must be approved in writing by NCMA prior to the start of the event.  

NCMA CODE OF ETHICS 

The NCMA Code of Ethics applies to NCMA meetings and events participation. NCMA reserves the right to take any action deemed necessary and appropriate, including immediate removal from the meeting without warning or refund, in response to any incident of unacceptable behavior, and NCMA reserves the right to prohibit attendance at any future meeting, virtually or in person. This includes:
